Scientists who volunteered to be experts of the National Research Foundation of Ukraine – NRFU (hereinafter – the Foundation) should register at its official website (the heading «We invite experts to cooperate» http://nrfu.org.ua//).

When registering as an expert, the scientist fills out the form providing information about his / her first and last names, patronymic name (if available), education, profession, specialization and qualification, your organization (the details may include its name, the department you work for, your office address, the nature of your relationship with the organization (e.g. employee), your roles and job title), your academic degree and rank, research papers and publications, participation in international projects, your autobiographical facts, and telephone numbers.

In compliance with the Law of Ukraine “On Protection of Personal Data”, the scientist, by ticking the box “I have read the Terms and Conditions of Using Personal Data” in the registration form, permits the Foundation to process his / her personal information entered into the form in the automated data-processing system “NRFU Contest of Projects” (https://grants.nrfu.org.ua).

The scientist’s consent, granted at his / her own will, is given to the Foundation, which will act as a holder of the personal data entered into the registration form. This is the explicit consent to processing personal data in accordance with the following purpose and conditions.

The purpose of processing personal data. The Foundation creates a database of experts who can assess the scientific and technological value of applications submitted to the Foundation for participation in the contest of research and innovation projects seeking grant support. The scientist’s personal data are transferred to the Contest Board which chooses experts for evaluation of the submitted projects.

The scope of processing the personal data may include collection, registration, accumulation, storage, adaptation, alteration, updating, usage, transmission, depersonalization and erasure of the respective personal data. Herein, the Foundation is authorized to have access to the scientist’s personal data, to transfer them and/or delegate the right of their partial or complete processing to the third party (such as members of the Contest Board elected by the Foundation’s Scholarly Board). Processing of the personal data, which serves the above purpose and complies with the legislation on protecting such data, is carried out without notifying the scientist about it. 

The use of personal data implies any legitimate activity of the Foundation, including processing the data, their protecting, and delegating the right of their complete or partial processing to other parties who handle the personal data with a valid business reason. 

The form of processing personal data may include the use of information (automated) systems.

The period of processing personal data is unlimited, but it should be no longer than envisaged by the purpose defined in this Consent.

The rights of a scientist who provides the personal data (in conformity with article 8, part 2 of the Law of Ukraine “On Protection of Personal Data”). A scientist providing his / her personal data has the right:

• to be informed about the source of data collection, location the data, purpose of their processing, location or place of residence (whereabouts) of the holder or handler of the personal data; or to entrust obtaining such information to his / her authorized representatives, with the exception of cases that are not legally approved;
• to acquire information about the terms of access to the personal data, including information about the third parties to whom the personal data are transferred;
• to have access to his / her personal data;
• not later than thirty calendar days from the date of request, except the cases conditioned by the law, to be informed whether his / her personal data are being processed, and what particular data are being handled in this processing; 
• to make a motivated request asking the holder of the personal data to cease/cancel their processing;
• to make a motivated request to change or erase the personal data by their holder or handler, provided these data are processed illegally or they are not true;
• to protect his / her personal data from illegal processing, accidental loss, erasure, and damage caused by intended hiding, non-reporting or untimely reporting, as well as to be protected from the information which is false or which hurts the data subject’s personal and business reputation;
• to submit complaints to the Ombudsman of Ukraine or the court about inappropriate processing of his / her personal data;
• to enforce legal remedies in case of violation of the law on the protection of personal data;
• to make reservations as to restriction of the right to process his / her personal data when giving consent to their processing;
• to revoke the consent to processing his / her personal data;
• to be aware of the mechanism employed for automatic processing of the personal data;
• to be protected from an automated decision that has legal consequences for the data subject.

The scientist, by ticking the box “I have read the Terms and Conditions of Using Personal Data” in the registration form, confirms that:

• he/she has been duly informed about the holder of the personal data, arrangement and content of the collected data, the rights guaranteed to the data subject by the Law of Ukraine “On Protection of Personal Data”, the purpose of collecting the personal data, and those to whom the personal data may be transferred;
• the provided personal data are accurate and true.

This Consent shall enter into force on the date of its granting with a tick in the automated data-processing system “The NRFU Contest of Projects” (https://grants.nrfu.org.ua).
